Medication at your center: parent authorization, approval and the medication log
Modified on: Thu, Oct 29, 2026, 7:23 AM
A parent authorizes a medication in the app and signs it. The director approves it, which creates the medication order. Then staff, including room staff if you allow it, record each dose on the medication log.
Who this is for
- Parents send the authorization.
- Directors and office staff approve it and manage medication orders.
- Room staff give doses and log them, when the center allows it.
Parent: authorize a medication
- Open the left menu and tap your child. Open the Health tab and scroll to the bottom.
- Tap Send Updated Records, then Medication authorization.
- Fill in the Medication name, Dose, how it is given (for example Oral or Inhaled), and either the times or Only when needed.
- Enter the start date, and the end date and prescriber if you have them.
- Sign your name, by typing it or drawing it, then tap Submit for Review.
Your signature authorizes the center to give the medication as written.
Director: approve it
- From the center's More menu, under Safety & Wellbeing, open Health Profiles & Immunizations and the Review Queue tab. The same queue is also a tab in Clinic Visits.
- Filter by Pending and Medication authorization.
- Open the row to read the medication, dose, route, frequency, dates, prescriber and the parent's signature, then approve or reject it.
Approving creates the medication order. You see it in Clinic Visits → Medications.
Let room staff give medications
In Clinic Visits, select the gear, then Settings → Clinic & Medication Log. Switch on Room staff can give medications and select Save Settings. A current parent authorization is still required for every dose. You can also require a witness.
Staff: give a dose and log it
- Open your room, select the star icon, then Medication Administration in the toolbar. It can take a few seconds to appear.
- On Medication log (MAR), find the child's medication and select + Administer now.
- Choose Given, Refused, Held or Missed, check the dose, add a note and a witness if needed, and select Confirm delivery.
Directors see every dose on Clinic Visits → Medication log (MAR).
Troubleshooting
- A teacher cannot give a dose. Check that Room staff can give medications is on and that the child has an approved, current authorization.
- The authorization has expired. Ask the parent to send a new one.
