Admissions for a childcare center: inquiries, tours, the waitlist and open seats
Track every family that asks about a place, book tours, keep a waitlist with sibling and staff-child priority, and see week by week when a seat opens in each room.
Who this is for
Center directors and admissions staff.
Step 1 — Open Admissions
From your center's More menu, under Administration, select Admissions. The page opens with a Get set up checklist (create a season, publish it, assign reviewers, set up Bloomz Pay, publish the enrollment packet, share the inquiry form), the funnel counts, and a list of areas: Seasons, Inquiries, Applications, Waitlist, Seat forecast, Events, Follow-up emails and more.
Step 2 — Share your inquiry form
In the checklist, select Share the inquiry form, then Create Link. Put the link on your website so families can ask about a place.
Step 3 — Work your inquiries
Open Inquiries. Each row shows the age band, days per week, full or part day, desired start and where the family heard about you. Select + Log Inquiry for a phone call or a walk-in.
Open an inquiry to see the care the family needs, change its Status, select Invite to apply, book a Campus tour (date and status, Save tour, Add to calendar), and add notes.
Step 4 — Keep the waitlist
- Select Waitlist and choose the season, for example your rolling childcare enrollment.
- Children are listed in order, with Sibling and Staff child pills. Move a child with the arrows.
- When places open, type the number in Available seats and select Offer Seats.
Step 5 — See when a seat opens
Select the Seats tab (also Seat forecast on the Admissions page). Each room card shows its age band and how many seats are filled, for example "8 of 8 seats filled", and "1 leaving soon" when a child has a planned last day. Open seats by week looks up to 12 weeks ahead.
Tap a week to see Who fits that room: the waitlisted children of the right age. Place a child from there, or select Place children due to place everyone whose start date has come.
Step 6 — Set a room's age band and capacity
Select the pencil on a room card. Set the Age band and Licensed capacity. Leave capacity blank to use the age band's maximum group size.
Troubleshooting
- "No waitlisted children fit this seat yet." No child on the waitlist is the right age or wants that room. Switch on Include children who prefer another room.
- A child is leaving, but the seat does not show as opening. Ask Bloomz Support to record the child's last day.
