Record observations and share learning progress with families

Modified on: Thu, Oct 29, 2026, 7:21 AM

Record what you see a child do, link it to a developmental milestone, and choose whether the family sees it. Each child gets a learning progress page you can print as a report in English, Spanish or Arabic.

Who this is for

  • Room teachers record observations for the children in their room.
  • Parents see the observations the teacher shared, and their child's milestones.

Step 1 — Choose the children

Open your room, select the star icon for the Activities page, then Observations in its toolbar. Tick one or more children, or Select All, then select Record for 1 selected (the number changes with your choice).

Step 2 — Record the observation

  1. Pick the Area of development: Social and emotional, Language and literacy, Thinking and learning, Physical, or Creative arts.
  2. Optionally pick a Milestone. Each one shows its age stage, such as "Preschool (3 years)".
  3. Under What did you see?, choose Observed or Emerging.
  4. Write a Note and Add a photo if you have one.
  5. Turn on Share with family if the family should see it. It is off by default, so the observation stays staff-only.
  6. Select Save observation.

Step 3 — See a child's learning progress

On the Observations sheet, select Progress beside a child. Learning progress shows the child's developmental stage, a summary per area, each milestone as "Not yet seen" or "Observed", and the observations themselves, each marked Staff only or shared. Change the time span with Period.

Step 4 — Print a progress report

At the bottom of Learning progress, choose the Report language (English, Español or العربية), add an optional Teacher's note, which prints at the top, and select Download progress report.

What parents see

On the Daily report card in Updates, the parent taps Learning progress. They see their child's stage, the milestones, and only the observations you shared, with the note and photo under "What we saw". They can download the report in their language. They never see staff-only observations and cannot change anything.

Troubleshooting

  • A parent cannot see an observation. Open it on the child's Learning progress page and check that Share with family is on.
  • The milestones do not fit your program. A director can hide, reword or add milestones in the Milestone catalog.
